Setting an Out-of-Office in Outlook
‘Tis the season where many offices are closing for extended periods throughout the festive period. Needing to set up an out-of-office in Outlook? Here’s our quick guide to get you ready for your Christmas break.
If you don’t already know, we’re HFC Systems, and we’re a friendly IT support company in Stokesley, and we help companies throughout Teesside & North Yorkshire with all of their small business tech support requirements.
Using the Outlook App:
- Open the Outlook app.
- Select File on the top left side.
- Then select the Automatic Replies
- Then select the option which says Send automatic replies.
- You can set a date range for your automatic replies. This means you’re able to turn it on in advance of your time off, so it’s one less thing to think about nearer the time!
- This will also turn off automatic replies at the date and time you enter for the end time. Otherwise, you’ll need to turn off automatic replies manually
Internal & External Responses
The next section you will see is where you set what you wish to be emailed out as your auto responder. There are two tabs, and there much be something written in both of these tabs. You can make this unique for the recipient or copy and paste into each box!
- On the Inside My Organisation tab, type the response that you want to send to teammates or colleagues while you are out of the office.
- Then click on the Outside My Organisation Type the response that you want to send to external contacts while you are out of the office.
- Select OK to save settings.
Turning off automatic out-of-office replies
Not sure when you’ll be wanting to turn your responder off? (no, us either!)
You can do it manually when you’re ready.
When Outlook is setup to send automatic replies, you’ll see a message under the top bar with this information. Select Turn off to disable automatic out-of-office replies. If you want to modify the dates for your automatic reply or the message sent, use the steps above to modify your settings.
